ZUGFeRD & PDF/A3 offer optimization potential for eProcurement providers
jb-x eProcurement supports Zugferd PDF/A-3
ZUGFeRD offers new opportunities for eProcurement providers in that invoice data can be read in a standardized format without time-consuming scanning and compared with purchase orders and goods receipts.
The "ZUGFeRD" format (Central User Guide of the Forum Electronic Invoice Germany) developed by the Forum "Electronic Invoice Germany" in cooperation with associations, ministries and companies is an electronic invoice format. It was published for the first time on June 25, 2014 with version 1.0.
The target group of ZUGFeRD are large and medium-sized companies, as well as public administration, and small companies that issue a small number of invoices per year to a partner.
The format is freely available to both companies and public administration and is offered on fair, appropriate terms.
ZUGFeRD Standard
"The ZUGFeRD standard describes a document and data format for the exchange of electronic invoices in which, on the one hand, a visual representation of the invoice data is provided via a PDF/A-3 compliant document, while, on the other hand, an invoice file in XML format is embedded in the PDF/A-3 document." (Leitfaden FeRD)
The resulting advantages include, on the one hand, the simplified verification of invoices, both by human visual inspection and by machine checks. On the other hand, the format enables a fast and convenient exchange of invoices between companies, as well as between companies and the public administration.
This in turn leads to savings in the area of invoicing (elimination of material and postage costs) and in the area of accounting through optimization and increasing efficiency of processes.
Advantages in eProcurement
ZUGFeRD with PDF/A-3 as the carrier format offers many advantages, particularly in the area of eProcurement, and for this reason is also used in the jb-x eBusiness suite (especially in the "eInvoice" module).
The jb-x software solution enables a simple and clear presentation of invoice information, as well as the efficient running of automated processes (verification, etc.) in the background, thus ensuring the optimal use of the ZUGFeRD format in the module.
